Meeting and Study Rooms

The Library offers meeting rooms for educational, cultural and community related meetings, programs, and activities. Group study rooms are also available at some locations.

The Library may deny or revoke meeting, study, and conference room privileges for misuse of rooms or violations of the patron conduct policy.

  • Capacity: 60

Group Study Room

Conference Room

  • Conference Room Terms and Conditions
  • Capacity: 5-16
  • At least five (5) people must be present within 30 minutes of the reservation start time and remain for the duration or the reservation will be canceled.

Hoyer Hall

  • Capacity: 110

Clayton Story Room

  • Room use policy
  • Capacity: 4-20
  • Duration of use: one-hour minimum
  • Frequency of use: Four uses per month and one use per week
  • Advance booking time: Up to three months in advance
  • Special use conditions: Applicants must be at least 16 years of age. Groups may not be booked for multiple sessions under different names. The Clayton Story Room is only available during open library hours.

Group Study Room

  • Capacity: 1-6
  • Duration of use: Up to 2 hours
  • Frequency of use: Daily
  • Advance booking time: One week in advance
  • Equipment available: None
  • Special use conditions: Responsible party must be at least 13 years of age. Children under 13 must be accompanied by an adult or library volunteer tutor.
  • How to book: Visit Information Desk to fill out an application.

Group Study Room

  • The Group Study Rooms cannot be reserved through the City of San Ramon
  • How to book: Visit the service desk in person to sign up on the day of the reservation.
  • Capacity: 1-6
  • Duration of use: Up to 2 hours per day. One hour extensions are permitted based upon availability, requested 15 minutes before end of reservation.

  • Frequency of use: One room per day, 2 hours max per day per person/group.
  • Advance booking time: Day of use only
  • Special use conditions: Room A is to be used by groups of 3 or more.

  • First come, first served basis
  • All study rooms include a whiteboard. Dry-erase markers and erasers are available at the Information Desk.
  • How to book: Must visit Information Desk to sign up in person on the day of use.

  • Rooms will be held for 15 minutes after the start of the reservation. After 15 minutes, the room will be made available for the next patron

Room reservations are held for 15 minutes past the start time; and may be canceled if no advance notice is given to staff.

  • Extensions on room booking: Extensions are contingent on availability. Please check at the front desk 5 minutes prior to the end of your time to inquire about another hour if no one has a booking for the room. Extensions will be granted in hour increments to ensure fair use.

The Contra Costa County Meeting Room Use Policy and Patron Conduct Policy both apply to all meeting rooms.

  • Equipment available: Downstairs meeting rooms include a whiteboard. Dry-erase markers and erasers are available at the Information Desk.
  • Special use conditions: None

The Teen Study Rooms may only be booked by teens (or adults with a teen) Monday through Friday, 3:00 p.m. - 5:00 p.m. and all day Saturday. No preference is given outside these hours.
